How does email verification work?

The most basic email checkers simply tell you if an email is working, yes or no. But this email verification tool goes further. It tests emails on several different criteria. And gives you a breakdown of the results. So you can make fully informed decisions about what to do.

Here are the different ways we verify email addresses:

Deliverability testThe simplest way to test an email address is the so-called ‘ping’ test. This simply sends a signal to an account known as a ping. If the email address pings back, it’s active and can receive emails.

Syntax checks

Every email address has to follow a fixed format to be valid. Excluding the @ sign, valid email addresses have 3 parts:

  • The username before the @ sign. This can have a maximum of 64 alphanumeric characters. Certain special characters are allowed.
  • The domain name after the @ sign. It could be the name of a free email service provider, like Gmail or Outlook. For business email accounts, this is often the domain name of the business.
  • The domain extension or top-level domain. This is separated from the domain by a dot, like .com or .org. 

Syntax checks scan email addresses to look for any variations from this formula. Automatically generated spam email addresses often use invalid characters, for example. And syntax checks can identify some typos, like a dot or @ in the wrong place. The details of syntax checks can help you decide if an invalid address is a genuine mistake. Or if your sign-up forms are being targeted by bots.

Domain checks

Domain checks are linked to syntax checks. You might have an email address with a made-up domain extension. That would get flagged by a syntax check.

But domain checks dig a little deeper. They look at whether the domain itself is valid for a start. Like individual email accounts, whole business domains can expire. This for instance happens when a business shuts down. So domain checks help to weed out old and inactive addresses.

A mismatch in domain and domain extension is also a tell-tale sign of a fake address. Spammers will often ‘spoof’ an email account by using a genuine domain name but registered to a different domain extension. Domain checks pick up mismatches like these.

One way email verification tools check domains is by using mail exchange entry (MX) records. An MX record is the registration record for a valid address. Fake accounts won’t have a valid MX record.

Blacklist checks

If your sender reputation falls too far, you risk getting added to a blacklist. This will mean any emails you send will go straight to the spam or junk folder of most email accounts. Or they may even be blocked completely.

What kind of email addresses should I avoid sending emails to?

You should avoid sending emails to any address that you can’t verify belongs to a real person. Or to a named individual. A fake email address in a real person’s name could be a spoof used by hackers and identity thieves. Or it could be a spam trap used by internet service providers to catch senders who don’t verify their email lists. Sending to these types of addresses will damage your sender reputation. And result in more of your emails landing in the spam folder.

You should also avoid sending to catch all addresses. This type of email address belongs to the domain only, not to individual users. Businesses often use them. It means an email will be accepted by the servers if the domain is right, even if the username doesn’t exist. But engagement on these email addresses is much lower.

Be careful of role addresses, too. These are the types used by businesses that have a job role or department rather than a username. So things like marketing@ or office@. They are often shared inboxes. As it’s hard to target a specific person, there’s lower engagement and a higher chance of being reported as spam.

What happens if I send an email to a fake address?

If you send an email to a fake address, there is a high chance that it will bounce. If the address doesn’t exist, you’ll get a message back saying the email couldn’t be delivered.

Every mail server tracks the bounce rate of email senders. If it gets too high, that hurts your sender reputation. A low sender reputation is a warning to internet service providers that you are sending spam. Or at the very least, not keeping your lists of customer data clean.
